How to display Google Calendar on a TV screen

You can display Google Calendar on a TV by connecting the television to a device running SignageWall Player, connecting a Google account in the dashboard, and choosing the calendar and layout. Events then become a read-only view for people in the room. Google Calendar remains the source of truth: make a change there, and the display fetches the updated schedule afterward.

What you need

• A television or commercial display suited to the reading distance and operating hours of the space
• A device running SignageWall Player and connected to the display
• A SignageWall account with the screen paired using its six-character registration code
• A Google account allowed to read the calendar intended for the screen
• Event names and details that everyone passing the display is permitted to see

You do not need to leave a laptop attached or make the calendar public on the internet. SignageWall uses the connected Google account with read-only access. A Google Workspace administrator can still restrict app connections or access to particular calendars, so a work or school account may require administrator approval.

Create a calendar specifically for the screen

The safest source is not a director’s or receptionist’s personal calendar. Create a separate calendar for information that belongs in the shared space, such as “Lobby events,” “Room A” or “Visitor information.” The content owner can then see exactly what will reach the wall without trying to filter private commitments out of a mixed calendar.

Google permissions determine what the connected account can read. Free/busy access withholds event names, while access to event details can expose the title, time, location and description. Check both the calendar permission and the content of every field before connecting it. Marking one event private is not a substitute for reviewing a source intended for a public screen.

Connect Google Calendar to SignageWall

1. Open Apps in the SignageWall dashboard and choose Google Calendar.
2. Connect the Google account that can access the screen-safe calendar.
3. Search the available calendars and select one source for this app instance.
4. Choose a day, week, month or schedule view.
5. Set the display language, light or dark theme, and auto-scroll when needed.
6. Save the app, add it to the content rotation and assign it to the selected screen.
7. Watch the complete view on the actual television before using it on other screens.

The connection is read-only. Creating, moving, cancelling and deleting events stays inside Google Calendar. SignageWall is not a second copy of the schedule and cannot alter the original event through the display.

Choose the view from the audience’s question

• Day suits a room entrance or reception when today’s events matter most.
• Week shows the next several days but needs a wide display and relatively few events per day.
• Month works for a calendar with a small number of significant dates; a busy month becomes unreadable quickly.
• Schedule presents events as a list and is often easiest to read in a lobby, waiting room or portrait display.

Schedule view can hide completed events and scroll when the list exceeds the available space. That is not a reason to send an entire company calendar to the wall. If visitors must wait through many entries, the source is too broad or the messages are too long. Select a narrower calendar instead of speeding up the scroll.

Design for a television, not a desktop calendar

A desktop calendar is read from half a metre away and can hold many small details. A lobby or waiting-room television may be several metres away and viewed in passing. Shorten titles, remove internal codes, and use the location only when it helps the next action. If the description needs several paragraphs, show a concise summary and, when useful, a QR code leading to the full information.

Landscape gives a week or month more horizontal room. Portrait often works better with a schedule list. Test the decision where the display will be mounted: viewing distance, glare, event count and the longest real title matter more than an attractive laptop preview.

Protect privacy before publishing

Treat a shared display as a public surface even when it is inside an office. Do not show full patient, candidate, visitor or employee names; private meeting descriptions; video-call links; phone numbers; email addresses; or internal document links. In a waiting room, general hours and instructions are safer than individual appointment information.

A useful test is an event containing the longest and most sensitive realistic fields. Put it on the television, stand where a visitor would stand, and write down everything that person can learn. If the answer exceeds the display’s purpose, correct the source and permissions before launch.

How updates work and what happens offline

The Google Calendar connector is configured to check for data on a five-minute interval. A calendar change is therefore not an instant alert, and the display should not carry messages that must appear within seconds. After an important edit, check the physical screen instead of assuming the new event has already arrived.

If the network drops, the player can retain the last synchronized calendar payload in its content snapshot, but a new event or change cannot arrive without connectivity. Define a process for time-sensitive information becoming stale, and test a real network interruption on the target device.

Where a calendar screen is useful

• Outside a room: the current and next public event
• At reception: today’s visitor-facing events and locations
• In a school or university: deadlines, lectures and public events from a dedicated calendar
• In a hotel or conference venue: the event programme and room number
• In a waiting room: general operating hours and information without personal data

Google Calendar can present a manually maintained trip or event plan, but it is not a source of live flight, rail or bus information. SignageWall has no native transport, booking or queue integration. When delays and departures are operationally critical, use an official system designed for that purpose.

Google Calendar or Outlook Calendar

If the team already works in Microsoft 365, the Outlook Calendar app provides a corresponding read-only display through a connected Microsoft account. Do not copy events from one system to another only for the television. Choose the source the team already maintains, then create a calendar or event set intended for the shared audience.

A final check before launch

1. Confirm that the connected account has only the access it needs.
2. Inspect the longest title, location and description on the actual display.
3. Check for personal data, internal links and confidential names.
4. Make one calendar edit and confirm that it reaches the screen.
5. Disconnect the network and record what remains visible.
6. Name the person responsible for the calendar and a date for periodic review.

A good calendar display is not the largest calendar you can fit on a television. It is a small, deliberate window into the schedule: enough to give the audience its next step, readable from the real viewing distance, and no more revealing than the space requires.
